It’s time again to share our popular “Ask the Expert” interview series that connects you with dynamic thought leaders. This year we’ve spoken with Harold Taylor about time management, Erin Rooney Doland about clutter, Francine Jay about letting go, Todd Henry about next steps, Dr. Debbie Grove about change, and Joshua Becker about fresh starts. For July, I’m excited to have with us prolific author, speaker, and learning and human development expert, Dr. Thomas Armstrong to share his insights about motivation.

I had the pleasure of meeting Thomas almost two years ago when he spoke about Neurodiversity at the Institute for Challenging Disorganization (ICD) conference in Denver. He’s a fabulous presenter who is knowledgeable and engaging. My gratitude goes to Thomas for taking the time from his busy travel schedule to join us. When we communicated this past spring, he was just returning from being away for a month lecturing in Abu Dhabi. Before we begin, here’s more about him.

Thomas Armstrong, Ph.D. is the Executive Director of the American Institute for Learning and Human Development, an award-winning author and speaker, and an educator for forty years. Over one million copies of his books are in print on issues related to learning and human development. He’s written fifteen books including The Myth of the A.D.D. Child and 7 Kinds of Smart. Linda Samuels:How has your expertise in neurodiversity and multiple intelligences influenced your ideas about motivation?

Thomas Armstrong, Ph.D.:  It’s clear to me that students are much more likely to be motivated to learn if they have an opportunity to learn using their most highly developed and/or most highly preferred intelligences.  Similarly, if a student has special needs (LD, ADHD, Autism etc.), they are more likely to be motivated in school if they are helped to learn using their strengths, rather than their weaknesses.  By focusing on words and numbers in the schools (rather than pictures, the body, music, nature etc.), we’re cutting off natural motivational channels for many kids.  And by employing a deficit orientation for kids with special needs, rather than a diversity perspective, we’re making it harder for these kids to get motivated.

Linda:  What motivates us to change?

Thomas: I’ve always liked Abraham Maslow’s schema on motivation, which he shared in the chapter ‘’Defense and Growth’’ in his book Toward a Psychology of Being.  He says you become motivated to change when a) you minimize the dangers of making a change, b) you maximize the dangers of not changing; c) you maximize the advantages of making a change, d) you minimize the advantages of not changing.  It’s a simple, elegant formula that anyone can use to develop a willingness to take a new job, exercise, not smoke, learn a new language, enter a new relationship, and so forth.

Linda:  What is one common motivation obstacle and a strategy for overcoming it?

Thomas:  Fear or anxiety seems to me to be the primary hurdle. There are many good strategies for overcoming fear/anxiety including meditation, strenuous exercise, psychotherapy, progressive relaxation, visualization, and yoga, just to name a few. I’ve used all of them, and to good effect.

Linda:  What has been your biggest personal motivation challenge?

Thomas: I’d prefer not to dig that deep into my past, but one very big personal challenge for me in the past several years has been my desire to write a novel.  I started sketching notes for a novel in 1990, began in earnest on it in the early 2000’s, and have been working intermittently on it ever since.  I’ve had to confront my own self-doubts about my ability to write fiction, my own difficulty in moving over from my left hemisphere (non-fiction) to my right hemisphere (novel), and my general difficulty in facing an empty page and moving into the unknown. I’m happy to report that I completed the first rough draft of my 120,000-word novel just last month while I was working in Abu Dhabi, United Arab Emirates. I celebrated by having lunch at Hemingway’s, a restaurant at the hotel dedicated to one of America’s greatest novelists.  Now, on to the revisions!

Linda:  What is your most surprising discovery about motivation?

Thomas: That you have to keep on re-motivating yourself. Motivation is not just one long surge. At least for me, it comes in spurts, and in different ways, and I guess, surprisingly for me, through dreams (which really helped motivate me to write my novel).

Linda:  What else would you like to add?

Thomas: So many parents ask:  how can I motivate my child to learn?  This is the wrong question. Your child was born with a natural motivation to learn, otherwise our species would have gone extinct. The question is, how do we re-motivate our kids, how do we reconnect them back to that intrinsic love of learning that they were born with. Here’s a hint:  tests, grades, ‘’rigorous’’ and demanding coursework, labeling, tracking, a standardized curriculum – these are not the ways!

Thomas, I love the positive, strengths-based approach you have about motivation and learning. Working from a place that energizes us makes so much sense whether we’re a child or an adult. Thank you also for highlighting Abraham Maslow’s model on motivation and change. Those ideas along with the strategies you shared for overcoming motivation obstacles are so helpful. I’m sure they’ll resonate with my readers.

This year we’ve spoken with Erin Rooney Doland about clutter, Francine Jay about letting go, Todd Henry about next steps, Dr. Debbie Grove about change, and Joshua Becker about fresh starts. For June, I’m thrilled to have with us prolific writer, speaker, and time management guru, Harold Taylor to share his expertise about time.

I’ve had the pleasure of knowing Harold for many years through one of our industry associations, the National Association of Professional Organizers (NAPO.) He’s been a frequent speaker and exhibitor at the annual conference. In 2002, I remember when he came to New York and presented his “Making Time Work for You” workshop for the NAPO-NY chapter professional development series. I still have the fabulous handouts with a great Harold quote that says,

Linda Samuels: As time management consultant, speaker, author, and trainer, you’ve been helping others manage their time and lives for almost 40 years. In what ways do the time challenges we had decades ago differ from now?

Harold Taylor:  There is a greater need than ever for time management because of the increasing speed, complexity and distractions of today’s environment. We are working faster, driving faster, communicating faster, eating faster – in short, we’re living faster.

In addition to time problems introduced by the latest technology, such as increased choices, incessant interruptions, unrealistic expectations and concomitant stress, our bodies are not designed to operate at warp speed and we are faced with a variety of ailments to the point that “keeping well” has become another time consumer.

We now have a longer lifespan than any previous generation, yet about a third of us claim we do not have enough time. Technology allows us to quickly dispense with trivial and low-priority activities so we are able to take on more trivial and low-priority activities. The emphasis has been on doing things faster but relatively little emphasis on working smarter.

For example, email is faster than writing or typing letters but we send and receive more messages. Some people in my workshops claim to receive hundreds of emails in a day. Since the line between work and personal time has been eliminated, people answer email and phone calls during lunch hours, text message while driving and watch videos during a son’s baseball game. We are allowing technology to control us rather than the other way around.

Linda:  For those that are especially challenged with time management, what strategies are most effective?

Harold: The most effective strategies in this digital age of speed are to work with purpose, plans and priorities. Most people resist prioritizing because they want to do it all. The consequences include unhealthy and inefficient attempts at multitasking, working longer hours, and cutting back on sleep.

We have to accept the fact that we can’t do everything, and establish a set of personal policies (which identify our values), set specific goals, and schedule appointments with ourselves to actually get the work done. This requires the use of an appropriate planner, a lot of self-discipline, and the commitment to regain control of our time.

Linda:  Can you describe your “holistic time management” approach to living and some of the benefits?

Harold:  I define holistic time management as “applying the strategies necessary to lead a happier, healthier, longer, more productive and fulfilling life.”  It is based on my belief that rather than trying to get more things done in our lifetime through efficiency, it would be more rewarding to focus on extending our lifetime. Not only would we get more done (even if we did nothing to increase our efficiency) we would have more time to enjoy whatever life had to offer.

The major topics covered in a workshop on holistic time management fall neatly into an acronym that spells out the word HOLISTIC – Health;Organization; Lifestyle; Internal body time;Spirituality; Time use; Interpersonal relationships and Cognitive skills. These all impact our longevity as well as our time management.

Linda:  What has been your toughest personal time management challenge?

Harold: My toughest personal time management challenge as I get older is not to become an “activity packrat,” crowding more activities into an already busy schedule without getting rid of other activities in the process. I think this is more difficult as you age since you can finally see the top surface of the sand in the hourglass.

Linda:  Do you have a time management philosophy or mantra?

Harold: I’m not sure if it’s a philosophy or mantra, but I do believe we should never regret having squandered time in the past; because even squandering can be enjoyable, and there are lessons learned, personal growth or other value in everything we have done or not done in the past. And we can’t change it anyway.

Linda:  If you found yourself with an unexpected extra hour on a particular day, how would you spend that time?

Harold: If I found myself with an unexpected hour on a particular day, I hope I would either spend the time doing more of whatever I was doing at the time - or wondering whether I had missed putting the clock ahead in the spring.

Harold, there are so many ideas here that resonate with me like the effect technology has had- how we manage or don’t manage our time. I love the clarity of your message that we need to “accept the fact that we can’t do everything, ” and the that “squandering [time] can be enjoyable.” I also never heard the term “activity packrat.” It’s an interesting concept to consider that our schedules can become just as cluttered as our spaces if we’re not aware.

Linda SamuelsAs an organization consultant, author, blogger, and speaker, you specialize in inspiring others to live an uncluttered life. What suggestions do you have for those that feel overwhelmed by clutter?

Erin Rooney Doland:  Remember that being organized and living without clutter are skills, just like the skills involved in playing a sport. Sure, some people are naturally gifted, but being 6’7” doesn’t guarantee someone will play in the NBA. It takes practice to learn any skill and to maintain it. Just because life is chaotic now doesn’t mean it’s always going to be that way. With regular practice, you’ll eventually find order and you’ll discover the skills that work best with your personality and preferences.

 

Linda:  In your book, Unclutter Your Life in One Week, you define an unclutterer as “Someone who choses to get rid of the distractions that get in the way of a remarkable life.” What are your favorite strategies for identifying and uncluttering distractions?

Erin:  You need to define what a remarkable life is for YOU. What does it look like? How does it feel? There are many ways to discover your definition of a remarkable life – chart it out, draw it out, create a vision board, meditate on it, talk it out with a family or friend, write it down. Once you know where you want to go, it’s a lot easier to get there.

 

Linda:  Some of us tend to accumulate more than we release. What makes it so challenging to let go?

Erin:  There are as many reasons as to why we want to keep things, as there are items to keep. These multitude of reasons cross our minds whenever it comes time to part with something. We “just in case” and “should” ourselves into holding onto all our stuff. It’s a very natural human instinct that almost all of us possess. It’s not bad or good, it just is. Problems only arise when keeping things distract us from the life we desire.

 

Linda:  What is your most surprising discovery about clutter?

Erin:  I’m continually surprised by how an individual’s value of an object changes with time. One day, a pair of earrings can be your go-to piece of jewelry. You’re a little heartbroken if one earring goes missing from the pair. Two years later, the same pair of earrings is taking up space in your jewelry box and you wouldn’t even remember it was in there. The object hasn’t changed, but how you value it has. Changing perceptions is vital to the uncluttering process and how this value change comes about is fascinating to me. Ultimately, someone has to choose the life they desire over their stuff if they want to be uncluttered, but how they get there is different for everyone.

 

Linda:  What has been your biggest personal challenge around clutter?

Erin:  My challenges are constantly changing, but right now a lack of energy is my biggest challenge with clutter. I have an infant and a very active four year old. It has been five months since I’ve had a solid night’s sleep. What little energy I have is going toward the basic routines that have to be accomplished for our family to function. I see clutter coming back into our lives and I just keep reminding myself that when we all start sleeping better and our energy levels return, so will the order. Until then, I’m trying not to freak out about my crazy pile of filing and all the other distractions.

 

Erin, you’re in good company with other parents of young children and how sleep, or lack their of influences energy, functioning, and clutter levels. This circles back to your idea about living a remarkable life, which involves knowing your priorities. Your clarity is evident that sleep, basic routines, and raising the kids trump filing papers. Clutter has an ebb and flow. How we handle or reconcile those variations vary for each of us.

It’s time for this month’s “Ask the Expert” feature, an interview series that connects you with dynamic industry thought leaders. This year we’ve spoken with author Todd Henry about next steps, psychologist, Dr. Debbie Grove about change, and author Joshua Becker about fresh starts. For April, I’m thrilled to have with us author and minimalist, Francine Jay to share her insights about letting go.

Francine’s book, The Joy of Less, was my introduction to the concept of minimalist living. In it, she wrote that when we let go of all the excess, “we uncover our true selves.”  Francine writes about the minimalist philosophy along with practical ways of applying it to your life. My gratitude goes to Francine for taking time away from her active toddler to join us. I know you’re going to love her down-to-earth ideas about letting go. Francine Jay pioneered the minimalist living movement with her blog, MissMinimalist.com, and her bestselling book, The Joy of Less, A Minimalist Living Guide: How to Declutter, Organize, and Simplify Your Life. In 2009, she and her husband sold their house, and all their possessions, and moved overseas with one suitcase each. After three years as a world-traveling digital nomad, she’s now applying her minimalist philosophy to life as a homeowner and mother. Her techniques for living a beautiful life with less stuff have gained her recognition in both national and international media. Linda SamuelsAs an author, blogger and parent, you inspire others to consider the joys of minimalist living. How do you describe minimalism?

Francine Jay:  Minimalism is eliminating the excess—unused items, unnecessary purchases, unfulfilling tasks—from your life. Everyone I know complains that they don’t have enough space in their homes, or time in their schedules. When you have fewer possessions, you have more space. When you have fewer commitments, you have more time. Minimalism is making room for what matters most.

 

Linda:  You said, “Sometimes we fear that getting rid of certain items is equivalent to getting rid of part of ourselves.” What are some effective letting go strategies?

Francine:  If you’re having trouble letting go of certain items, I recommend the following techniques:

  • Digitize it. Taking digital photographs is a great way to save the sentiment, without saving the stuff. A photo of your great aunt’s phonograph, or your high school swimming trophies, will bring back the same memories as the item itself—without taking up an inch of space. 
  • Miniaturize it. This technique is particularly effective for hard-to-part-with heirlooms. If you never use it, save just a piece of an item or collection: like one plate of your grandmother’s china, a swatch from your wedding dress, or the pulls from an antique dresser. 
  • Hide it (temporarily). Box up items you’re having difficulty letting go of. Mark the box with a date, and donate whatever you don’t retrieve after a specific period of time (say six months). If you haven’t used it (or missed it) in that time, it’s not very crucial to your identity or well-being.

 

Linda:  In your book, The Joy of Less, you describe that things can become anchors, which prevent us from growing and moving forward. What are some of the benefits of letting go?

Francine:  Clutter can weigh on our spirits, making us feel too distressed and distracted to accomplish much of anything. Letting go lightens our load, giving us the freedom—physically, mentally, and often financially—to explore new interests and develop new talents. When we’re not tied down by excess stuff and commitments, we’re able to embrace opportunities as they arise. Each extraneous thing we eliminate from our lives feels like a weight lifted from our shoulders—it’s positively exhilarating!

 

Linda:  Do you have a letting go philosophy?

Francine:  To me, letting go is like traveling lightly. I realized how wonderful it was to travel with a small backpack, with only the essentials, instead of lugging around a heavy suitcase. When I was on vacation, I felt like I could go anywhere, and do anything, because I wasn’t loaded down with stuff. I wanted to have that same feeling of freedom in my everyday life, so I decided to let go of all my excess possessions. I wanted to spend my time and energy on experiences, rather than things. I believe that the less baggage we’re dragging around, the more living we can do.

 

Linda:  What has been your biggest personal challenge around letting go?

Francine:  Since I became a mother, my biggest personal challenge has been letting go of productivity. Once upon a time, I wrote regular blog posts, answered emails within a day, and had a sink free of dishes—and couldn’t imagine life any other way. Having a child has taught me that it’s okay to let some things go undone—I’d rather read my daughter an extra bedtime story than race to clear out my inbox. Now, my goal is no longer to get more done, but to have less to do.

 

Francine, I love the clarity you have around your ideas, which are especially compelling because you’re living them. While there are so many words of wisdom here, one of the ideas that particularly resonates with me is, “I believe that the less baggage we’re dragging around, the more living we can do.” The focus on less stuff to gain more living is at the core of minimalism, and very much in line with the work we do as organizers.
