3 Time Management Strategies That Will Make Your Life More Happy

When you think about how you manage time, do you consider the “happy” factor? It’s a given that you have 24 hours each day. How you use and feel about that time is where life gets interesting. With some minor tweaks, you can enhance the quality of your life by shifting your perspective and actions.

Happiness is not always considered when it comes to time management, yet it’s a powerful element to integrate.

Before I share three helpful time management strategies, let’s look at some common phrases to describe time and how you experience it.

Common Time Phrases

This first list of expressions reflects stress, frustration, and anxiety about the limitations and passage of time. Some common sayings are:

  • Running late

  • Behind schedule

  • On the clock

  • Not enough hours in the day

  • Time waits for no one

  • Time is of the essence

  • Lost time

  • Pressed for time

  • Time-sensitive

  • Killing time

  • Wasting time

  • Running out of time

  • Lost track of time

  • Living on borrowed time

  • Out of time

This second list of phrases describes positive feelings about time, highlighting enjoyment, appreciation, and making the most of every moment. These expressions include:

3 Time Management Strategies for a Happier Life

The time strategies described below can increase your happiness wherever you are in your relationship with time.

1. Happier Boundaries

What happens when you have few or no boundaries? Without boundaries, everyone else’s priorities come first. And you know what that means? Yours come last, if at all. You end up saying “yes” to things you wish you said “no” to. As a result, you might feel resentful, angry, frustrated, or annoyed.

Learning to set boundaries is a core time management skill. I continually work on boundary-setting because I didn’t understand that skill growing up. On the contrary, I learned how NOT to set boundaries. But I digress.

My insightful friend, colleague, and Professional Organizer Julie Bestry always shares excellent resources on her Paper Doll blog. She also has a great sense of humor. Her recent post, “52 Ways to Say NO to a Request So You Can Say YES to Your Priorities,” includes fabulous boundary-setting strategies.

To illustrate one of Julie’s points, she shares a 30-second YouTube clip from the TV show Friends. In the segment, Joey asks Phoebe if she wants to help assemble Ross’s furniture. Phoebe matter-of-factly says, “I wish I could, but I don’t want to.” Wow! What a clear (and hilarious) example of setting boundaries and saying no.

While Phoebe’s response to Joey’s request might not work for you, the idea behind it is worth considering. There are many ways to set boundaries, and learning to say no when you want to (whatever the reason) is essential. Knowing that skill lets you focus on your top priorities and what matters most.

2. Happier Activation

Now that you excel at boundary setting (yes, you!), your attention can focus on your most important people, projects, and tasks. However, while you cleared your schedule and said no to several requests, you’re having difficulty beginning your work.

The project you want to do, you can’t make progress on. You might need to plan, research, enlist help, gather resources, or take other actions. You’re thinking about how much time it will take to finish. Feelings of overwhelm are taking over. It all feels too big. How are you going to complete this or get started?

Let’s say it. You can’t do it all at once, so don’t expect that you will. Instead, let small time blocks be your ‘activation’ friend. Merge the concept of small blocks of time with an actual timer, and you’ll be amazed at what you can accomplish.

Activation Strategy:

  • Review your calendar

  • Select a day that has availability

  • Select a small amount of time, such as 10, 20, or 30 minutes you commit to your project

  • Set the timer for those minutes

  • Work until the buzzer dings

  • Stop working

  • Check on how you’re doing – Are you done for the day? If so, schedule another day to repeat the process. Or do you want to work for another ‘x’ number of minutes? If so, reset your timer now to continue working. When the buzzer dings, repeat the last two steps.

 3. Happier Connections

Pausing in your day to savor one of life’s simple pleasures is an excellent time management strategy to enhance your happiness. If you are constantly on the go, consider integrating “Fika,” a Swedish practice.

Fika embodies the Swedish values of work-life balance, social interaction, and relaxation. Practicing Fika involves taking a short break, typically in the afternoon. People slow down, socialize, and build relationships. The break often includes coffee or another beverage and a small treat like pastries, cookies, or sandwiches.

The other day, I tried a variation of this with my husband. We skipped the beverage part and visited our local store, The Blue Pig. We sat, talked, and ate espresso chip ice cream cones with chocolate sprinkles. It was time well spent.

7 Achievable Ways to Quickly Improve Your Work-Life Balance

We’re in the midst of the holiday season. Do you feel like a juggler in a circus? Between planning or attending gatherings, keeping your family fed, helping your kids or aging parents, and completing your work deadlines, your time is in high demand. Add to that, preparing for visitors coming and going, selecting and wrapping gifts, and making time for some self-care (yes, self-care…I’m talking to you) it’s a lot. Seriously. How many balls are you juggling at once? How do you navigate the many roles and responsibilities you have? There is a delicate nature to finding a doable work-life balance. Many of you will probably agree that the ‘right’ balance is a constantly moving target.

When my balance is off, I look carefully at my commitments and evaluate what change is needed. Have I said “yes” too often? Have I said “yes” to things that are nourishing and energizing? One of the best decisions and yeses I made a year ago was to Marcy Stoudt, CEO of Revel Coach and Founder of The Executive Mom Nest. This visionary Executive Coach and mother of three launched The Executive Mom Nest, or The Nest, as we affectionately call it. 1. Balance through Self-Care

"One constant that every single human being has is time, and we have the same amount of it. What we choose to do with it is our choice. The secret to any success story is moderation and living in harmony with yourself. If something doesn't go as planned, learn from it, don't judge it. If you indulge, enjoy it, and get back on track later! If you overworked yourself, give yourself a well-deserved rest. 

Strive to keep yourself grounded through fulfilling practices and rituals that fuel your soul. Morning rituals are personally my favorite way to set myself up for success, in addition to a delicious night's sleep to restore. Spend time investing in yourself. After all, it is the greatest gift you could give so you can show up as the best version of yourself for everyone around you."

2. Balance through Less Negative Self-Talk

“I get control of my negative self-talk. I'm a busy working mom. I'm proud of what I do. But, when I'm feeling overwhelmed, it's rarely because I am doing too much. It is almost always due to my mental chatter obsessing over my lack of time. I lose motivation, focus, and clarity when I have negative thoughts. 4. Balance through Reflection

“When I think of balance, I envision two bowls dangling from a stick, delicately positioned to be even. Life doesn't work like that. Instead, I find harmony in my life through reflection, joy, and growth. If I dread an activity, I ask myself what purpose it serves. If it’s a class I know will help me professionally, I can look ahead to the end date and envision the success it will bring at a future date. If, however, it’s a toxic relationship with something such as junk food, I will replace the interactions with something that brings me joy, like giving myself a few extra minutes to read a novel.”

5. Balance through Healthy Boundaries

“When I think of work/life balance, I think of seasons. I don’t believe there is a perfect balance to life because some seasons require more work, and some require more of life. What has helped me feel restored in each season is applying healthy boundaries. No matter the season, I keep within boundaries that align with my values, purpose, and goals. Should a season push up against those boundaries, I can adjust accordingly. When we know who we are and where we are going, then there is peace no matter the season.”

6. Balance through Energy Management

“A major way to restore my work/life balance is to manage my energy each workweek. When I break down my goals/tasks weekly, it is achievable. For example, I view the week as a pizza pie (yum) and try to eat one slice daily, so by the end of each day, I feel energized and have accomplished my daily tasks. Sure, there are weeks I’m planning special events or need extra time to cross the task of the list. By checking in on my energy rhythm, I usually feel less drained. Are you eating your slice daily or the entire pizza pie by Wednesday? Check yourself daily to understand your energy as it will balance your career and life goals.”

7. Balance through Frequent Assessment

“When I'm feeling frustrated about my day, I can tell that it's time for me to restore balance. Restoring balance is a practice and needs to be assessed regularly. I have a three-step process for bringing back balance and suggest making time for this routine at least once a quarter.

1) Meditate – First, I need to calm myself down and take a moment to breathe and clear my head.

2) Process – Second, I need to make space for myself and process what makes me feel frustrated or overwhelmed. This is a great opportunity to go to my favorite cafe with a notebook and journal on the question.

3) Review - Finally, I review my calendar. I reevaluate everything on my schedule - declining meetings or removing responsibilities that no longer serve me. It's also helpful to look ahead and block some time in the future for myself, knowing how overwhelmed I'm feeling now.”

2020 has been the year of Zoom, and with it came an abundance of desk time. It’s a good thing that this professional organizer loves being in her home office. It is the place I have virtual organizing sessions with clients, write blog posts, attend workshops, pay bills, and connect with family, friends, and colleagues. My space reflects a balance of the elements that are most important to me. When I’m here, reminders that help me focus, be productive, feel calm, creative, grateful, and supported surround me.

Organization at its best happens when our environment supports what we need and want to do. After all, when you’re struggling to find a pen that works, a paper to jot a note onto, staples to replenish your stapler or a cord to recharge your device, that searching adds undue stress in your life. When your surfaces are covered with non-essentials, they detract rather than help you focus on your intentions.

If your space lacks comfort, your body and mind will become exhausted. And if your place is void of the “you” factor, it won’t honor your uniqueness.

As we wrap up one year and head into the next, this is an excellent time to consider balance and its role in your physical environment. While I’m sure you have your list of what makes you feel organized and supported in your space, I thought you’d enjoy this behind-the-scenes view of my office and the elements that help me.

10 Elements That Add Balance

1. Inspiration 

Inspiration

Inspiration is present in many forms. There are the small signs or words I display around my desk, like the Anna Quindlen quote card that says, “I wish I had treasured the doing a little more and the getting it done a little less.” 

My favorite inspirational books are perched visibly on the shelves, including Mindset by Carol Dweck. Other favorites include I’ll Carry the Fork by Kara Swanson, Mindfulness by Ellen Langer, Emotional Intelligence by Daniel Goleman, Resilience by Linda Graham, and The Little Book of Hygee by Meik Wiking.

These visuals encourage me to continue learning, be creative, and focus on what is meaningful.

 

2. Technology

Technology

My Apple device trio- the iMac, iPad, and iPhone helps me communicate and stay organized. They sync with each other, which helps with productivity. If a new contact or appointment is entered on my phone, it automatically syncs with my iMac and iPad. One of the keys to using technology is having confidence in your devices and knowing where and how to access the vast amount of information you are storing.

Tech balance comes from organizing my e-files for easy retrieval and having physical and cloud-based auto back-up systems. Over the years, I’ve become increasingly dependent on technology, which has its pros and cons. One way I manage that balance is by minimizing the beeps and dings so my devices don’t interrupt me when I’m working.

 

3. Comfort

Comfort

While I’m committed to having non-desk time for activities like walking, yoga, or meditation, I’m actually at my desk a significant amount of the time. Part of balance includes being physically comfortable.

A few things make my desk life better. I have gel-filled wrist rests for my keyboard and mouse, a purple velvet footstool for my short legs, and a navy blue velour desk chair that is soft to the touch. Good-feeling fabrics and textures matter to me.

My lighting is also comfortable with various sources, including natural light. Don’t underestimate the value of improving a few physical office essentials to increase comfort. Your body and mind will thank you.

4. Organization 

Organization

I can’t ignore the value of the physical organization of papers, files, and supplies in feeling balanced. My office was designed to hold all the items I use regularly.

There are filing cabinets for papers, open slots for ongoing projects, and closed cabinets to store supplies like the label maker, paper pads, printer cartridges, and notecards. There are drawers for stamps, mailing labels, and eyeglasses.

Everything has a place and is at my fingertips. Pens, stapler, sticky notes, scissors, and other frequently used supplies are visible and contained on my desk. 

 

5. Time

Time

Managing myself involves being time-aware. This awareness enables me to be punctual for appointments, focus on projects, take breaks, and shift gears. The clocks and timers in my office support boundaries and balance.

My tech devices display the time digitally. However, it is my large yellow analog wall clock that I rely on most. I interpret time most easily when I can see the visual representation of time moving. I also use the Time Timer and the alarm setting on my iPhone Clock app to manage my time.

 

6. Family

Family

When we talk about work, the phrases work-life balance or work-family balance often emerge. Having a space that inspires and supports your work is great. However, remembering that life isn’t just about work is key.

Spending time with the people I love is essential. On display are photos of happy faces snuggled together and beautiful moments spent with my husband and kids. They exude love. My family lifts my heart and brings balance, meaning, and joy into my life.

Purple

7. Color

Color affects my mood. Even as a young girl, the color was how I interpreted the world. When curious about a place or thing, my first question was often, “What color is it?” By age five, my favorite color was purple, and it still is.

When it came time to design my office, I wanted to incorporate my color. I combined different violet hues, such as the red-violet pullout keyboard tray, the blue-violet cabinets, the muted purple filing cabinets, and the blue-fleck quartz desktop.

Being surrounded by my favorite color makes me feel happy, grateful, and balanced. How does color affect you?

 

8. Sparkle

Sparkle

Color is great, but color with sparkles is even better. I’ve always responded to light. There’s something so lovely about how sparkly things like glitter, glass, and other shiny objects reflect light. The undulating lightness brings balance and some whimsy to the darkness.

When I look around the office, my eye catches glimpses of shine from objects like the lavender glass cabinet knobs, the silver glitter-covered Eiffel Tower, or the purple sparkle pen cup.

Who says we can’t find balance in the sparkles?

 





Toys

9. Toys

Toys make me think about play, which is the opposite of work. A long tray of toys, which I affectionately call fidgets, is displayed under my computer screen. They include miniature buttons, clothespins, Legos, trolls, rubber ducks, maracas, egg timers, and other tiny objects. They represent a variety of colors, textures, and messages.

Why are they there? And what do they have to do with balance? When I’m in a meeting or on a call, playing with the objects helps me focus. Fiddling around in this tactile way improves my concentration. The other aspect has to do with my appreciation of small things and fun. My fidget collection provides a balance of focus and whimsy.



 

Greenery

10. Nature

For me, feeling aliveness within extends into being surrounded by living things, like plants. So much is quiet and still in my office. Including greenery or fresh flowers adds vibrancy and balance to my space.

My oldest daughter, Allison, gave me a beautiful wooden stand that displays a miniature ceramic pot and an air plant. The plant is the sweetest little thing, and it makes me think of my daughter and how she has blossomed.

The tiny plant also reminds me to nurture and care for it and others. The balance lies in doing and not doing, watering but not overwatering, and nurturing but not smothering.
